Microsoft Outlook
Microsoft Outlook allows the user to send and receive emails and manage their ingoing and outgoing emails into folders. A few useful features for staff are the ability to
- Securely encrypt emails or add attachments.
- Apply rules to automatically manage mail.
- Utilize the calendar and schedule appointments.
- View a directory of Roehampton staff and students and utilize the shared mailing spaces and calendars for communication with each other.
Outlook can be integrated with third-party plugins as well as Microsoft apps. The Microsoft Teams plugin is automatically added to all Roehampton devices so staff can schedule meetings with contacts within the Outlook application. Automatically everyone with a Roehampton email address will have all staff and students as contacts on their Global Address List. You can find contacts and email, share attachments view and send calendar invites to each other.
Limitations
The Current limitations of Outlook include (With the full-time and visiting employee staff license)
- 100GB Outlook Data File Size Limit.
- 10,000 subfolders.
- 150MB total Message (and attachment) size limit for Outlook Desktop Client.
- 10,000 email recipients per day
University Restrictions
A full A3 work or school office license and Roehampton mailbox are given to most staff on the Roehampton payroll.
Retention policy
Emails are limited to remaining on Roehampton Outlook clients for one year. Any older mail can be downloaded from the server temporarily or accessed from the webmail. All mail moved to the Junk emails folder will remain for 30 days in the junk folder.
Security
Automatic Forwarding of emails is blocked except for the ‘Out of Office Assistant’ for security reasons. There are also restrictions on third-party services accessing information from your mailbox.
